Volunteers
Our parent volunteers are one of our most important assets. With the exception of coaches and paid officials, all meets are entirely staffed by parents. In order to continue to maintain the success of our program and share the responsibilities of running the meets, all families are required to work a minimum number of three shifts during regular-season meets. There are a total of four meets, plus time trials.
Parents must complete three volunteer positions for the season or your child will not be eligible to compete during champs week. Please set aside time to devote to working these shifts during meets to support your child. If you have special circumstances that you feel will prevent you from fulfilling your meet volunteer obligations you may send someone on your behalf or you may contact a Swim Volunteer Coordinator.
Volunteer sign-ups will open in Mid May. You will receive an email with the exact date and time in the coming weeks.
DIVE TEAM VOLUNTEER DESCRIPTIONS:
There are two shifts at a dive meet. The first shift is during 8U’s’ 10U’s, and 12U’s. The second shift is during 14U’s, 16U's, and 18U’s.
Dive Judge: Hallbrook must provide two volunteer judges per shift for each meet. If possible, it is preferred that parents not judge during their own child’s group, but judges may be substituted in during conflicts. Dive judge training information will be provided through email. We highly encourage at least one parent from each dive family to attend the dive judge training if you have never been before.
Scoring Table: Away meets only - Record judge’s scores as announced over speaker.
Scoring Table Observer: Home meets only - Observe scores entered into the computer by eScoring Manager.
SWIM TEAM VOLUNTEER DESCRIPTIONS:
Timers: Stand at the end of your assigned lane and use a stopwatch to record each swimmer's time from the official starter gun until the swimmer touches the wall at the end of the race. Also requires recording times on a clipboard.
Back-Up Timer: Stand at one side of the starting blocks (either near the starter or on the opposite side of the blocks from the starter) and act as a backup timer for each race in the event a timer's stopwatch malfunctions.
Tent Monitors: Stay with the swimmers in their designated team area and make sure the kids are under control, behaving, and listening for their events. Make sure they stay off the golf course. The main purpose of this position is to make sure each swimmer gets to the Clerk of the Course in time for each race. Also make sure the swimmers clean up the tent area before they leave.
Scoring Table: Support the Scoring Chair by sorting DQ slips and time sheets provided by the Runner and provide this information to the computer operations person. This position is located inside the (air conditioned) bistro during home events. This is a flexible position that allows you to watch your child swim.
Runner: Runners collect DQ slips from Stroke Judges (checking the slips to make sure that the heat, gender, and lane are properly marked) and time sheets from timers. Runners give DQ slips and time sheets to the scoring table, inside the bistro.
Clerk of the Course: This person organizes swimmers in lane position before each race according to the sheet provided by the coaches.
Pre-Clerk of the Course: This person helps the Clerk of the Course organize each swimmer in lane position for each event and heat. This person will also run to the announcer for any missing swimmers.
Ribbons: Place ribbons in each swimmer's file throughout the meet. This is a flexible position that allows you to watch your child swim.
Floater: Fill in where needed at the meet, which could include any of the other volunteer shifts, among other things. Requires flexibility. Check-in with Volunteer Coordinators at the beginning of the shift to find out where you are needed.
